NOTICE OF PRIVACY PRACTICES

Effective Date: September 12, 2026

Business Name: Missy Bee Advocacy Services, Inc.

Privacy & Compliance Officer: Thomas Langford / info@missybeeadvocacy.com

1. Our Commitment to Your Privacy

At Missy Bee Advocacy Services, we understand that student data, Individualized Education Programs (IEPs), evaluations, and family communications are deeply sensitive. We are committed to protecting your family's privacy and handling all Personally Identifiable Information (PII) with the utmost care and security. All files and data submitted through our secure online intake forms and client portals are protected by enterprise-grade cloud encryption both in transit and at rest.

2. How We Use and Share Information

We use and share your child's educational and personal records strictly for the purpose of providing professional advocacy and consulting services. Permitted uses include:

  • Advocacy & Case Management: Analyzing educational records, reviewing evaluation data, building IEP meeting strategy maps, and communicating directly with you regarding your active case file.

  • Billing & Account Management: Generating invoices, processing flat-rate or subscription plans, and managing accounts. Note: Financial transactions are handled via secure, PCI-compliant payment gateways using standard commercial descriptions to ensure no sensitive educational details leak into banking networks.

  • Internal Business Operations: Maintaining secure digital document archives, ensuring quality assurance, and verifying system security logs.

  • With Your Explicit Written Consent: We will never share your files, case notes, or communications with school districts, administrators, teachers, or outside professionals unless you have signed and executed a dedicated Written Consent & Advocacy Authorization Form.

3. Your Privacy Rights

As a client, you maintain full control over the information you entrust to our agency. You hold the following rights regarding your household's data:

  • Right to Inspect and Copy: You have the right to request a complete digital copy of your child's intake records, uploaded PDFs, and case file logs at any time (governed by our separate Document Retention & Access Policy).

  • Right to Request Corrections: If you believe a case summary sheet or timeline log generated by our agency contains an error, you may submit a written request to amend or update that specific data point.

  • Right to Restrict Disclosures: You may request that we limit how we use or share specific pieces of your child's file, though we reserve the right to decline if the restriction prevents us from effectively performing our contracted advocacy services.

4. Right to Revoke Consent

You maintain the right to terminate our data access privileges and close your client file at any time. If you choose to revoke your consent in writing, we will immediately cease all active advocacy work and future data processing. Please note: Revoking consent does not retroactively affect actions taken or disclosures made while your consent was actively in place.

5. Data Security & Retention

We maintain strict administrative, physical, and technical safeguards to prevent unauthorized access to your records. Client files are retained in accordance with our agency’s Document Retention & Access Policy (retaining records for seven (7) years post-contract to protect historical educational data, after which they are securely purged).
